Booking process

All bookings must be made through the booking form. Please contact me if you have any questions.

 On booking you will receive an email with further information such as gear checklist and invoices - please ensure your email filter allows this. If you do not receive these emails please get in touch - it is important you read through all the information provided.

Payment        
Once the booking form is completed, you will be directed to a secure payment gateway to make payment.

 

Open Groups -
 

  • Payment is paid in full at the checkout

 

Private bookings -

​

  • Bookings are only confirmed once a deposit of the course fee has been paid and the completed booking form has been returned.
     

  • Booking forms should be submitted as soon as possible.
     

  • Pay by card - You can opt to pay in full for the event, or pay a booking deposit (this amounts depends on the event).
     

  • Bank transfer - your place will be reserved and a confirmation email with invoice will be sent to the email provided. Your place will then be held for 7 days and within this time, you can either pay in full for the event or a  deposit.

 

  • If paying a deposit, the balance is to be paid at least 2 weeks prior to the start of the event you have booked onto. You will be sent a reminder if you haven't paid within 2 weeks. If you do not pay the balance, you may lose your place and deposit.
     

  • If fees are not received by then we are under no obligation to hold your reservation. Summit Else reserves the right to treat the booking as cancelled by the client, resulting in loss of deposit.
     

  • If a booking is made within the two-week period prior to commencement the whole fee must be submitted upon booking.

The information you provide
The information you provide is required for insurance purposes.
I will not disclose the information to any other party or use the information for any other purpose.

Cancellation procedure
If you choose to cancel your booking :

  • Booking cancellations must be made in writing/email.
     

  • Cancellations made prior to 28 days of the start date of the course will be liable for a 10% of total booking fee.
     

  • Cancellations made within 28 days of the start date of the course will be not refunded deposit. 
     

  • Cancellations made within 2 week of the start date of the course will be liable for 100% of the full fee.
     

  • ​We strongly recommend clients take out appropriate cancellation insurance such as that through the British Mountaineering Council.



If I have to cancel your booking :

  •  For weather-related cancellations, notice could be as short as a couple of days, in which case the event will be rescheduled, or another suitable venue chosen.
     

  • For group bookings I have a minimum group size of 3 - this ensures I am able to cover my costs for the day. If in the event that not enough people book onto a group event I reserve the right to postpone the event.
     

  • In the very unlikely event that I have to cancel your booking for personal reasons, then I will refund your payment to me in full or offer you a voucher for an alternative date. I endeavour to give as much notice as possible.

 


We cannot be held liable for additional costs you may have incurred (eg accommodation, transport).


 

Gear needed


You will need your general outdoor gear appropriate to the time of year and conditions (see kit list). Should you turn up without the appropriate gear, I may refuse to allow you to participate  and you will not be refunded.
Please get in touch if you would like advice on where to buy, or hire equipment.


 

Fitness and experience

A level of fitness and experience appropriate for the activity you are taking part in will be required. This will vary depending on the type of event, if you are unsure, please do not hesitate to get in touch.

Please let me know if you have any injuries, medical conditions or are taking any medication.

Anyone believed to be under the influence of drugs or alcohol, acting in an abusive matter or ignoring advice given by their guide/instructor will be required to leave.


 

Image rights

As a keen photographer, I often have my camera with me - I want you to have a great experience and take away many wonderful memories.

Any photo of people within the group will be shared privately to them .
I also ask permission on the booking form if I can use photographs for my website and social media.
If you would prefer not to have your photo taken or your image used, please let me on the booking form.

Copyright of any photos shared remains the property of the owner.

 

Risk
Please note that although you will be with an instructor with appropriate qualifications, climbing and hillwalking can involve a risk of injury. You need to accept an element of risk exists and you may feel the need for appropriate insurance - the MCofS have policies through the BMC.
I will assess the group and weather conditions and, to ensure safety, may make appropriate changes to the event if required. This may involve a change of venue, curtailing the walk/climb in poor weather, or extending your day if conditions and group fitness allow.

Should you not heed the advice of your guide or leader during the event then you will forfeit all professional protection and duty of care and you may be asked to leave the event without a refund of fees paid.

I make every effort to ensure that the information provided is correct, but cannot be held responsible for any inaccuracies or subsequent alterations of itineraries that are beyond my control.
I reserve the right to withdraw or modify at any time arrangements are advertised.
